Simpatico Privacy Policy

Simpatico Solutions LLC · Michigan, United States
Effective date: October 9, 2026
Questions: support@besimpatico.com

The short version

Your data is yours. You choose what to share and with whom — managers and organizations never see an individual's raw answers, check-ins or score, only aggregate team signal. Enforced at the database level, not by a setting.

The rest of this policy explains exactly what that means, what we collect, where it goes, and how you get rid of it.

1. Who we are

Simpatico is made by Simpatico Solutions LLC, a Michigan limited liability company. We run the website at besimpatico.com and the app at app.besimpatico.com.

Simpatico is offered in the United States. If you use it from elsewhere, you do so on your own initiative, and this policy still describes how we handle your data.

2. What we collect

We collect what you give us, plus the small amount of technical information any website needs to run (see "Counting how Simpatico is used" and "Your browser" below). We don't buy data about you, and we don't follow your browsing anywhere else.

When you take the assessment: your answers about how you work — including slider positions, communication and collaboration preferences, values, strengths, challenges, stress signals and recovery needs, and personality quirks. Also: any external test results you choose to enter (such as MBTI, Enneagram, CliftonStrengths, DISC or Working Genius), your onboarding preferences, your industry, role and job title, and your answers to the Career Compass questions.

When you check in: your mood, work vibe, friction level, friction tags, work fit, what's blocked, and any private notes you write. From these we compute a daily score.

When you talk to SIA: whatever you type into a SIA conversation.

What we generate: your reports — Personal User Manual, Work DNA, Boss Cheat Sheet and Coworker Cheat Sheet — and your Today report. Career Compass, the AI ReadMe and Trends are coming soon; when they arrive, they're made the same way, from the same data.

Your account: your first and last name (your full name is printed on your Personal User Manual), your email address, your password (stored only as a secure hash) or your Google sign-in identity, and your timezone.

Payment: handled entirely by Stripe. We never see or store your card number. Stripe tells us whether a payment succeeded and which product it was for. If you pay before you have an account, we also get the email you paid with, and use it to set up your account. That is all we keep. When you pay, we also keep a record that you agreed to the Terms (section 9). Stripe asks for your name and billing address at checkout, keeps them with your payment details, and uses the address to work out any sales tax due.

Counting how Simpatico is used: we count page views and button presses on our own servers — no cookies, no outside analytics service, no advertising trackers, nothing that follows you to another site. On the website, a count isn't tied to you, and we don't store your IP address with it. Inside the app, counts are tied to your account, so we can see which parts of Simpatico get used. They're never shown to a manager or organization, and they're erased when you delete your account.

Your browser: we don't use cookies to track you. The app keeps a few small things in your browser so it works: your sign-in, your light or dark setting, assessment answers you've started before you have an account, a one-time sign-in message, and — if you arrived from someone's shared link — which link it was. The website stores nothing in your browser. If you play the video on the website, it loads from YouTube's privacy-enhanced mode, under Google's privacy policy. Stripe's checkout page is run by Stripe and sets its own cookies under Stripe's privacy policy.

When you ask for early access: if you leave your email address on a page for something that's coming soon, we keep the address, which page and button it came from, and when — nothing else. We use it to tell you when that thing is ready and to send you occasional news about Simpatico. Every email has a link to stop them.

When you rate your manual: your answer to "Did this get you right?" (1 to 5) and anything you write under "What's off?" are kept with your account. You can answer once. Only you and Simpatico see them — never a manager, a teammate, or anyone reading a shared link. We use them to learn what the manuals get wrong. The day's "What's off?" notes go, with no name or email beside them, into a daily summary email sent only to Simpatico's founder. Your rating is erased when you delete your account.

When you book a working session: the booking button opens our page on Cal.com, a scheduling service. Cal.com collects the name and email address you give it, under its own privacy policy, and passes them to us so we can meet.

This is sensitive data, and we treat it that way

What Simpatico holds is more personal than most software: a profile of how you work, a daily record of how you're doing, and candid notes about your job, your manager and your colleagues. We take that seriously. Everything below about visibility, sharing and deletion exists because of it.

We do not ask for health information

Simpatico is not a health or medical product. Some fields — check-in notes, SIA conversations, free-text answers — let you write whatever you want. If you choose to write about your health there, that text is yours, and we do not treat it as health information or handle it differently from anything else you write. We never ask for it.

3. Who can see what

This is the heart of the policy. Read it carefully.

Only you see your own data. Your raw assessment answers, your check-in history, your notes, your individual score, your SIA conversations and your reports are visible only to you — unless you share them (section 4) or join a team (below).

Teams open later in 2026. When you join one, some things are shared on purpose and the rest stays yours. For check-ins, a manager sees only combined signal: the team's combined scores, participation, and which friction tags are appearing across the team. A manager never sees:

  • your individual answers or traits
  • your individual check-in score
  • your free-text check-in notes — not as text, not as keywords, not folded into a summary
  • anything you say to SIA

Notes are excluded from the manager's data at the point the data is pulled, not hidden on screen. This is a structural rule in the database, not a preference you have to switch on.

What joining a team shares. Your teammates, your manager and your organization's admins see the Team Playbook, which shows how each person on the team likes to work: their work style, where they sit on each slider (one end, the middle or the other end — never a number), their strengths, and how they like to be recognized. Values, stress signs and recovery needs are counted, never named. Joining also shares your Boss Cheat Sheet with your manager and your Coworker Cheat Sheet with your teammates — those two reports exist to be handed to the people you work with. Joining the team is your consent to this. Nothing about where you want your career to go is part of a team account.

Simpatico staff. A support-only administrative role exists so we can help you if something breaks. Its use is logged and audited. We do not browse your data.

4. Sharing — it's public, and it's yours to switch off

Simpatico lets you share a report by link — your Personal User Manual, and, if you have them, your Work DNA, Boss Cheat Sheet and Coworker Cheat Sheet. Understand what that means:

  • A shared link is readable by anyone who has it. Not just the person you sent it to. If they forward it, the next person can read it too.
  • The link always shows your current report. If you retake the assessment and regenerate, people with the old link see the new version.
  • You can turn any link off at any time. It stops working right away, and turning it off is final — sharing again makes a new link. The reader sees a page saying the link isn't available.
  • Links don't expire on their own. A link works until you turn it off or delete your account — even if your Blueprint subscription ends.
  • You see a count of how many times a link was opened (your own opens count too). Nothing else — no names, no times, no notification per view.
  • Nothing is shared until you share it. Private is the default for everything.
  • Search engines are told not to list shared pages. That keeps them out of search results; it doesn't stop someone who has the link from passing it on.
  • The reader sees the whole report, as you see it — including the stress signs named on the Cheat Sheets. They never see your rating of your manual.
  • A downloaded PDF is a copy. Once you send it, it can't be turned off.
  • If someone makes an account from your shared page, we note which link brought them. We don't tell them anything more about you, and we don't tell you who they are.

The shared page carries Simpatico branding and a way for the reader to make their own manual. It does not show ads or pricing around your report.

5. AI generation — where your data goes

Your reports and SIA's replies are written by an AI model. To make them, we send your assessment answers, check-ins, notes and SIA messages to Anthropic, an AI company, through its API, under Anthropic's commercial terms. If Anthropic's service isn't available, we send the same request through Google Cloud's Vertex AI instead, under Google Cloud's terms.

Under Anthropic's commercial terms, Anthropic may not train its models on what we send. Under Google Cloud's terms, Google doesn't use it to train or fine-tune its models without our permission.

Some requests — such as rewriting your reports after a retake — go to Anthropic in batches. Anthropic stores a batch's requests and replies for up to 29 days unless it's deleted; we delete each batch as soon as it's done.

For your reports, we send your name, your job title, role and industry, and plain-language descriptions of your answers. For SIA, we send your first name, your check-ins and your conversation. We never send your email address or account details. We instruct the model to write only from what it's given. AI output can still be wrong. See the Terms of Service for what that means.

6. Who else handles your data

We use these outside services. Each one handles only what it needs to do its job.

ServiceWhat it doesWhat it handles
Google Firebase (Google Cloud)Stores your data, runs the website and app, and handles sign-inAll account data, answers, check-ins, reports, ratings, SIA conversations. Stored in the United States.
AnthropicWrites reports and SIA replies (our main AI provider)The content sent for generation, as described in section 5
Google Cloud Vertex AIWrites reports and SIA replies when Anthropic isn't available (our backup AI provider)The same, only when it's used
StripeProcesses payments and works out sales taxYour card details (which we never see), name, email, billing address, and what you bought
ResendSends our emailsYour email address and the contents of emails we send you, including early-access emails
Cal.comBooks working sessionsThe name and email address you give when you book

We do not sell your data, and we don't share it for targeted advertising. We do not share it with advertisers. We do not share it with anyone not listed here, except where the law requires it (section 11).

7. Emails we send

We send emails tied to your account: verification, password reset, check-in reminders during your free week, a nudge if you start the assessment and don't finish, and occasional offers related to something you've already bought (for example, a discount on a yearly Blueprint plan after you buy the $4.99 reports). Each one includes a way to stop receiving that kind of email, except for the ones you need to keep your account working (like password reset).

Early-access emails. If you ask for early access to something that's coming soon, your address joins our marketing list (section 2). We'll tell you when it's ready and, now and then, send news about Simpatico. Every one of these emails has an unsubscribe link, and you can also email us to be taken off. There's no newsletter sign-up box on the site.

8. How long we keep it

While your account exists, we keep your data so the product works. Your reports stay readable even if you stop paying. Paying gates creating new things; it never gates reading what you already have.

Dormant accounts. If you have not signed in for two years, we will email you a warning. If you still don't sign in, we delete the account under the rules in section 9 — everything erased, every shared link dead.

Early-access emails are kept until you unsubscribe, ask us to remove you, or delete a Simpatico account with the same address. Usage counts and your manual rating are kept with your account and erased with it. Purchase consent records are kept for 3 years from the purchase, even if you delete your account (section 9). Server logs record technical details such as IP addresses and an account ID — never your email — and are deleted after 30 days. We keep no backup copies of your data.

Deleted accounts. See section 9. Gone means gone.

9. Deleting your account — gone means gone

You can delete your account at any time. Email support@besimpatico.com from your account's address and we'll delete it for you. When you do:

  • Your assessment answers, computed traits, reports, check-in history, notes, SIA conversations, manual rating and usage counts are erased — and so is any early-access sign-up under the same email address.
  • Every link you have ever shared stops working, immediately.
  • If you're on Blueprint, deleting your account ends it right away. There's no refund for the rest of the period. We then delete your customer record at Stripe.
  • One-time purchases go with the account. The $4.99 reports can't be moved to a new account.
  • If you are on a team, your contribution to past team aggregates is removed. We do not keep an anonymized copy of your scores to keep a manager's chart stable. Your data belongs to you, not the team.
  • There is no grace period. Before we delete, we'll reply to confirm, naming exactly what disappears. Once you confirm, it's done. We cannot restore it.

Deletion is not the same as leaving a team. If you leave a team (or your organization removes you), your data is copied into a personal account that you control. The team's copy remains until the organization closes your seat. The two are never linked again afterwards. You can leave a team and delete an account, in either order.

Things that survive deletion: Stripe's own records of past payments, which Stripe keeps under its own privacy policy; for each purchase, a record that you agreed to the Terms and the renewal terms — which versions, when, the checkout's ID, and a scrambled one-way copy of your email address (not the address itself, and no name) — kept for 3 years from the purchase so we can show you agreed, then deleted automatically; a bare note that a payment event was processed (its type and time — nothing about you); if someone made an account from one of your shared links, the ID of that link on their account (it no longer leads anywhere); and server logs, which are deleted after 30 days (section 8).

10. Exporting your data

You can take everything you have. From your settings, you can export your answers, reports and check-in history.

11. When the law requires it

We will disclose data if a valid legal process compels us to, if it is necessary to protect someone's safety, or if it is necessary to enforce our Terms. We will tell you if we are legally allowed to.

If Simpatico Solutions LLC is ever sold or merged, your data would transfer with it, and we would require the new owner to keep this policy — including the visibility rules in section 3. We would tell you first.

12. Security

Data is stored on Google Cloud infrastructure in the United States, encrypted in transit and at rest. Access rules are enforced in the database itself, not only in the app. Passwords are hashed. We never handle card numbers.

No system is perfectly secure. If we learn of a breach affecting your data, we will tell you without unreasonable delay, and as any applicable law requires.

Found a vulnerability? Email support@besimpatico.com. We'd rather hear it from you.

13. Children

Simpatico is a workplace product for adults. It is not intended for anyone under 18, and we do not knowingly collect data from anyone under 18. If you believe a minor has created an account, email us and we'll delete it. If we learn we've collected data from a child under 13, we delete it.

14. Your rights

Whatever state you live in, you can: see what we hold about you (export it, section 10) · correct it (on Blueprint, by retaking the assessment — limits are shown in the app; with the $4.99 reports, by retaking it once; on Free, answers are locked once your manual is made, so email us about anything that's wrong) · delete it (section 9) · and ask us questions (section 16). We do not sell personal data, so there is nothing to opt out of selling. We will not treat you differently for exercising any of these. To ask for any of these, email support@besimpatico.com from your account's address. We may ask you to confirm it's you, and we'll answer within 30 days.

If your state's privacy law grants you additional rights, we will honor them.

Do Not Track. Some browsers send a "Do Not Track" signal. We don't track you across other websites, and we don't let anyone else track you on ours, so every visitor is treated the same whether the signal is on or off.

15. Changes to this policy

If we change this policy in a way that matters, we'll email account holders before the change takes effect and note the date at the top. We will never change section 3 to let a manager or organization see an individual's data.
